If you’ve ever bought a shiny new planner, downloaded an app, or color-coded your to-do list only to fall behind again by midweek, you’re not alone.
Most time-management tools were designed for individuals, not mothers juggling multiple lives at once.
I used to be obsessed with organizing tools.
I loved the fresh notebooks, color-coded pens, and digital lists that dinged when I checked something off. For a while, it felt productive—until I realized I still ended most days overwhelmed and unfinished.
The Hidden Flaw in Traditional Systems
Planners can track tasks, but they can’t hold the mental load of motherhood. When you’re managing work deadlines, meals, permission slips, appointments, emotions, and the invisible labor that keeps a family running, neat lists fall apart fast.
I learned this the hard way after leaving my agency job to start my private practice. One child was starting kindergarten; the other was home full-time. I thought that since I finally controlled my own schedule, I’d have balance.
Instead, I felt like I was drowning in spreadsheets, snacks, and laundry.
At night, I’d scroll my phone, numbing out from exhaustion. I told myself I just needed a better system—another list, another app—but the truth was deeper.
The tools weren’t built for the complexity of real mom life.
The Turning Point
One Sunday night, surrounded by sticky notes and meal-planning binders, I admitted what every burned-out mom eventually realizes: this isn’t sustainable.
I had to stop trying to force generic systems to fit a life they weren’t designed for.
That night became the beginning of what I now call The Balance Formula—a flexible weekly planning method that helps moms manage their real schedules, real energy, and real priorities. It’s my favorite system of all time! 🐐
The Balance Formula: How It Works
The Balance Formula organizes your week around three simple categories:
- Must-Dos: The things only you can do. Doctor appointments, work meetings, self-care basics like haircuts or therapy.
- Have-Tos: The recurring responsibilities anyone could technically do, but still must get done—laundry, meal prep, bill paying, dishes.
- Want-Tos: The life-giving activities that refill your energy—lunch with a friend, reading, alone time, family movie night.
Each Sunday, I sit down and map my week using these categories. I move items around as life happens—sick kid, canceled client, surprise event—but the structure keeps me grounded. When I skip it, I can tell by Wednesday: I feel scattered, reactive, and short-tempered.
The Balance Formula isn’t about doing more; it’s about seeing clearly what matters most this week and letting the rest wait.
Why It Works When Other Systems Don’t
Most productivity methods focus on efficiency. The Balance Formula focuses on capacity. It honors the reality that moms are managing multiple systems—home, work, school, relationships—and that energy, not time, is the true limiting resource.
When you plan through the lens of must, have, and want, you give yourself permission to:
- Stop overloading your days with impossible lists
- Protect time for what replenishes you
- Adapt gracefully when life changes mid-week
It’s not perfect or rigid. It’s livable.
What Happened When I Started Using It
Once I implemented the Balance Formula weekly, everything shifted.
I still had full days—but they were aligned. I slept better, felt more present with my kids, and actually enjoyed downtime without guilt.
Over the years, as my business and family grew, the formula evolved with me. It’s the one system that has consistently kept me balanced through every season.
If you’ve been feeling like your to-do list is endless and no planner seems to fix it, this is your sign: it’s not you. The system was never designed for the load you carry.
